Privacy Notice

This notice explains what personal data CEA-LTD collects, why we collect it, and what rights you have over it.

What we collect

When you contact us through this website, by email or by phone, we may collect:

  • Your name and, where given, your company or organisation
  • Your email address and telephone number
  • Details of the property or properties you are enquiring about
  • Any other information you choose to include in your message

During an assessment we also collect information about the building itself — construction, services, floor areas, photographs and similar technical data. This is information about the property rather than about you personally, though it may be linked to your enquiry.

Why we collect it

We use your information to respond to enquiries, provide quotations, carry out assessments and issue certificates, and to keep records of the work we have done. We also use it for dealing with any queries, complaints or claims.

Who we share it with

We share information only where it is necessary to deliver the service:

  • Our accreditation scheme provider, for quality assurance and audit purposes
  • The national EPC register, where a certificate is lodged (certificates are, by law, publicly searchable)
  • Our IT, email and website hosting providers, who process data on our behalf
  • Our accountant or professional advisers, where relevant

We do not sell your personal data, and we do not share it for marketing purposes.

How long we keep it

Records relating to completed assessments — including site notes, floor plans, photographs and supporting evidence — are retained for 15 years. This is a requirement of the Code of Conduct we adhere to as accredited energy assessors, and ensures that lodged reports and certificates remain insured for the full period in which a claim could arise.

Enquiries that do not lead to instructed work are kept for 12 weeks and then deleted.

Lawful bases and your data protection rights

Under UK data protection law, we must have a "lawful basis" for collecting and using your personal information.   • Your right of access — you can ask us for copies of your personal information, and for details such as where we got it from and who we share it with. Some exemptions may apply.
  • Your right to rectification — you can ask us to correct information you think is inaccurate or incomplete.
  • Your right to erasure — you can ask us to delete your personal information.
  • Your right to restriction of processing — you can ask us to limit how we use your information.
  • Your right to object to processing — you can object to us processing your personal data.
  • Your right to data portability — you can ask us to transfer the information you gave us to another organisation, or to you.
  • Your right to withdraw consent — where we rely on consent, you can withdraw it at any time.

If you make a request, we must respond without undue delay and in any event within one month. To make a request, please contact us using the details above.

Our lawful bases. For providing and improving our services to clients, we rely on contract (we need the information to enter into or carry out a contract with you) and legitimate interests (our legitimate interest is collecting the information needed to provide a fee quote). For dealing with queries, complaints or claims, we rely on contract. Where we are required to lodge a certificate on the national register, we rely on legal obligation.
